New Features, Improvements & Enhancements | November 2026

We're pleased to share the latest improvements to the TraceSense platform, introducing new Quality Management capabilities, enhanced audit functionality, improved production planning, additional shop-floor features and updates across the wider system.

These enhancements are designed to help manufacturers improve efficiency, strengthen traceability, reduce paperwork and manage more of their operations from one central platform.

1. Quality Management System (QMS)

A complete, centralised approach to managing quality and food safety.

TraceSense now includes an expanded Quality Management System, bringing essential food-safety records, compliance activities and corrective actions together in one place.

The QMS includes dedicated registers for:

  • Corrective & Preventive Actions (CAPA): Record non-conformances, assign responsibilities, investigate root causes, establish deadlines and verify effectiveness.
  • Customer Complaints: Record, investigate and manage complaints through to resolution, supported by a central customer register.
  • Concessions: Manage customer-approved deviations, including validity periods, supporting documentation and written agreements.
  • HACCP & Food Safety Plans: Maintain HACCP records, review schedules, approval details and CCP/OPRP information.
  • Supplier Approval: Manage supplier risk assessments, questionnaires, audit dates, approval status and supporting certification.
  • Calibration: Maintain equipment calibration records, certificates and upcoming calibration requirements.
  • Glass & Brittle Plastic: Manage registers, inspections and breakage incidents, including links to corrective actions.
  • Allergen Management: Maintain allergen risk assessments, cleaning validation records and packaging controls.
  • Environmental Monitoring: Record testing activities, monitoring zones, limits and out-of-specification results.
  • Product Recall & Mock Recall: Record traceability exercises, completion times, percentage traced and identified gaps.
  • Management Reviews: Record review activities, actions and follow-up requirements.
  • Change Control: Document and manage operational changes.
  • Pest Control: Maintain inspection visits, findings and follow-up actions.

Outstanding Actions & Automated Reminders

A central outstanding-items view provides visibility of activities requiring attention across the QMS.

Daily reminder emails can notify relevant users about activities due within the next 30 days or already overdue, including:

  • Calibration and HACCP reviews
  • Supplier approvals and certification
  • CAPA actions
  • Allergen control reviews
  • Pest control follow-up
  • Concessions and management reviews

Reminder preferences can be configured independently for each organisation.

Supplier records also support classifications for raw-material, packaging and service suppliers, including RSPO and organic designations where applicable.

2. Audit Management & Scheduling

Plan, complete and manage audits directly within TraceSense.

The enhanced audit functionality introduces a structured approach to scheduling, completing and reporting audits.

Audit Calendar

Audits can now be scheduled in advance using a dedicated calendar.

Users can:

  • Select an audit date and checklist template.
  • Assign responsibility for the audit.
  • Start the audit when it is due.
  • Reschedule planned audits when necessary.
  • Record reasons for date changes, maintaining a full history.

Automatic Audit Scoring

Completed audits now receive an automatically calculated percentage score, supported by a simple traffic-light indicator.

  • ๐ŸŸข Green โ€“ 90% or above: High compliance
  • ๐ŸŸ  Amber โ€“ 75% to below 90%: Improvement required
  • ๐Ÿ”ด Red โ€“ Below 75%: Significant improvement required

Scores are calculated using the average pass rate across the checklist's sections, excluding questions marked as not applicable.

Non-conformances remain reflected in the original audit score even after corrective actions have been completed, preserving an accurate record of the audit findings.

Scores and indicators are displayed within audit records, reports and exported PDF documents. Existing audits have also been recalculated using the updated scoring method.

Corrective Actions & Notifications

Audit corrective actions now support:

  • Multiple assigned users
  • Priority levels
  • Photographic evidence of findings
  • Photographic evidence of completed actions
  • Automated email notifications

When an audit is completed, users with outstanding assigned actions receive an email summarising their responsibilities.

Assigning or reassigning an action on a completed audit also generates a notification for the new owner.

3. Customisable Audit Templates

Build audit checklists that reflect how your facility operates.

Audit templates have been enhanced to provide greater flexibility and control.

Templates can be organised using two section types:

Location-Based Sections

Create audit sections linked to specific production areas, departments or operational locations.

Criteria-Based Sections

Create sections covering general audit requirements, such as hygiene, documentation, GMP or operational standards.

Additional improvements include:

  • Add, remove and reorder questions.
  • Organise questions within individual sections.
  • Maintain updated question wording.
  • Import existing checklists from Word, Excel, PDF or CSV files.

This makes it easier to convert existing paper-based audits and inspection forms into digital checklists.

4. Purchasing & Supplier Price Management

Improved control over supplier pricing and purchasing records.

Supplier prices can now be scheduled to change automatically on a specified future date.

New functionality includes:

  • Schedule supplier price changes in advance.
  • Automatically apply new prices on the effective date.
  • Optionally update existing open purchase orders.
  • Receive notifications of upcoming price changes.
  • Maintain historical supplier pricing records.

These improvements provide greater visibility and control over purchasing costs.

5. Production Planning

Introducing an enhanced weekly production planning grid.

Production planning now includes a weekly product-based grid, providing a clearer view of planned manufacturing activities.

Users can:

  • Enter planned production quantities for each day.
  • Automatically calculate mix requirements using recipe information.
  • Calculate expected production hours.
  • Compare planned hours against available line capacity.
  • Release approved plans into the production schedule.

This helps production teams understand capacity requirements and improve scheduling accuracy.

6. Shop-Floor & Terminal Enhancements

Several new features have been introduced to improve production recording, weighing, labelling and operational control.

Weigh & Label

The new Weigh & Label functionality allows operators to:

  • Record individual pack weights.
  • Validate weights against minimum and maximum tolerances.
